You may plan your events involving groups of delegates outside the time allocated to the official Congress program. You may not host any events that compete or interfere with the Congress program or official cultural and social functions, including the Opening Ceremony, Welcome Reception and Farewell Dinner. Any activities or meetings of over 40 people are not permitted during this time.

The WFH reserves the right to determine eligibility and refuse exhibition space to any company or organization whose products or services are not compatible with the mission, policies, and practices of the WFH, or may adversely affect the general character of the event as a whole.

In general, all medical device, biological, or pharmaceutical companies, and/or their products (whether in development or currently on the market), should be regulated and/or licensed by a reputable regulatory authority. For example, these would include the European Agency for the Evaluation of Medical Products (EMA), or National Regulators such as U.S.A. (FDA), U.K. (MHRA), Germany (PEI), France (AFSSAPS), Spain (AEMPS), Japan (MHLW), Australia (TGA), and Canada (Health Canada).

Additionally, companies regulated and/or licensed by the host country or region for the specific meeting or event may also be considered for exhibition. The WFH does not endorse particular treatment products or manufacturers and any approval of exhibition space is not an endorsement of the respective company, organization, product, or service by the WFH. The WFH does not engage in the practice of medicine and under no circumstances recommends particular treatment for specific individuals. However, the WFH may request the submission of scientific or other evidence to support or better understand an application for exhibition space.

The character of exhibits is subject to the approval of the WFH. The WFH reserves the right to refuse exhibitors that do not meet the standards required or expected. As well, the WFH reserves the right to restrict exhibits, or parts thereof, that reflect poorly on or violate the character of the meeting, or because of noise, method of operation, or which for any other reason become objectionable to the WFH or to delegates. This reservation applies, without limitation, to persons, conduct, articles of merchandise, printed materials, souvenirs, catalogues, and any other items that affect the character of the exhibit. In such an event, the WFH shall not be liable to any exhibitor for any refund of exhibit fee or expenses incurred by exhibitor to exhibit.

No signs will be affixed by any means to the walls, doors, or any other surface in the exhibit or meeting areas. The WFH policy firmly restricts individuals, companies, or organizations that have not been assigned an official exhibit space from soliciting business and/or distributing promotional material of any type within the exhibit area or any other meeting areas. Furthermore, those organizations that have been assigned an official WFH exhibit space must conduct business activities within their assigned booth space and not to impede traffic through the exhibit aisles or other areas of the facility.
